This privacy policy explains how J V Plumbing & Heating Limited, trading as Videtta (“we”, “us”, “our”), collects and uses your personal data, and the rights you have under the UK GDPR and the Data Protection Act 2018. It applies to this website and to enquiries you make with us.

The personal data we collect

When you use our quote or enquiry form, we collect the information you give us: your name, phone number, the service you select and the details you include in your message.

Automatically, when you submit the form, we collect limited technical and marketing information to understand where enquiries come from: the page you arrived on, the website that referred you, and advertising click identifiers where present (for example Google’s gclid, gbraid and wbraid, and any UTM campaign tags).

When you call or email us, we keep a record of that correspondence.

Server logs. Our hosting provider keeps standard access logs, which may include your IP address, for security and to keep the site running.

We do not take payments through this website.

How we use your data, and our lawful basis

  • To respond to your enquiry and provide a quote — on the basis of your consent and our legitimate interests in dealing with enquiries about our services.
  • To carry out work you ask us to do — on the basis of performing our contract with you.
  • To meet legal obligations — such as gas safety records and accounting/tax requirements (legal obligation).
  • To understand where enquiries come from and improve our service and marketing — on the basis of our legitimate interests.

Who we share your data with

We only share your data with organisations that help us run our business, and only as needed:

  • HighLevel / LeadConnector — the customer relationship management (CRM) system that receives and stores your enquiry, so we can respond and follow up.
  • Hostinger — our website hosting provider, whose servers host this site and keep standard access logs.
  • Finance introductions (only if you ask about finance): if you apply to spread the cost of work, we introduce you to TradeHelp Ltd (a credit broker, FCA reference 697812), who arrange loans from Novuna Personal Finance, a trading style of Mitsubishi HC Capital UK PLC. See the finance information at the foot of every page.
  • Professional advisers and authorities — for example our accountant, or a regulator, where we are required to.

We do not sell your personal data. We do not currently use Google Analytics or advertising/analytics cookies on this site — if that changes, we will update this policy and our cookie policy before doing so.

International transfers

Some of our providers may process personal data outside the UK. Where they do, we rely on appropriate safeguards recognised under UK data protection law — for example the UK’s International Data Transfer Agreement (IDTA), the International Data Transfer Addendum to the EU Standard Contractual Clauses (SCCs), or transfers to countries the UK has deemed to provide adequate protection.

How long we keep your data

We keep your personal data only for as long as we need it:

  • Customer and financial records — approximately 6 years, to meet HMRC, accounting and gas-safety record-keeping obligations.
  • Enquiry-only data (where you contacted us but did not go on to become a customer) — a shorter period, currently around 24 months, after which it is deleted or anonymised.

These retention periods are kept under review and may change if our legal obligations change.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct inaccurate data;
  • ask us to delete your data, or restrict how we use it;
  • object to us using your data for our legitimate interests, or for marketing;
  • ask us to transfer your data to another provider (data portability); and
  • withdraw your consent at any time, where we rely on consent.

To exercise any of these rights, contact us using the details above. We will respond within one month.

Complaining to the regulator

If you are unhappy with how we have handled your personal data, you can complain to the Information Commissioner’s Office (ICO): ico.org.uk, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, telephone 0303 123 1113. We would appreciate the chance to resolve your concern first.
